Maintenance records help you track service work, repairs, itemized costs, odometer readings, and supporting photos for each vehicle.
Add a maintenance record
- Open Maintenances.
- Select Add Maintenance.
- Enter the odometer reading.
- Pick the maintenance date.
- Choose the vehicle.
- Add notes about the work.
- Attach a photo if needed.
- Add maintenance items with notes and amounts.
- Select Save.
The record total is built from the maintenance items.
Maintenance items
Use maintenance items to break one service record into meaningful parts, such as oil change, tyres, inspection, parts, or labour.
Itemized maintenance records make later review and reporting clearer than putting every cost into one note.
Find and organize maintenance records
The maintenance list supports:
- Date range filtering.
- Vehicle filtering.
- Search by notes or description.
- Sorting by date, type, or fleet submission status.
- Column visibility controls.
- Bulk deletion.
- Pagination for larger record sets.
Records with attached photos show a photo indicator in the list.
Submit maintenance records to a fleet
Fleet users can submit selected maintenance records to a fleet for review. Submitted maintenance records show their fleet submission status so reviewers can approve, reject, or follow up.
Comments on submitted maintenance records
Comments can be added to fleet-submitted maintenance records. Use them to ask for more service detail, request a corrected amount, clarify parts or labour, or explain review decisions.
Records with comments show a comment count so open conversations are visible in the list.
