Fleet Audit Logs

Fleet audit logs help admins and managers understand what happened to Fleet records, who made the change, when it happened, and whether it came from the web app, mobile app, or watch.

Who can view Audit Logs

Fleet audit logs are available to Fleet members with Fleet update permissions, such as Admins and Managers.

Drivers can submit and edit their own records according to their access, but they do not manage the full Fleet audit log.

Viewing the Fleet Audit Log

1. Under Fleet in side menu.
2. Select Audit Log.

The audit log shows entries for Fleet trips, expenses, and maintenance records.

What the Audit Log tracks

Audit entries can include:

• Created records.
• Submitted records.
• Updated records.
• Status changes, such as approval or rejection.
• Records removed from a fleet.
• Deleted records.

Each entry details the record type, record ID, record title, action, source, actor, owner, timestamp, and changed fields.

Sources

The source indicates the origin of the change:

• Web for changes made via the Travel Logs web portal.
• Mobile for changes synced from the iOS or Android app.
• Watch for supported watch activity.

Use the source filter when you need to investigate whether a change came from a browser, mobile device, or watch.

Filter audit entries

The Fleet audit page supports filters for:

• From date.
• To date.
• Record type: trips, expenses, or maintenance.
• Action.
• Source.
• Search.

Use search to find entries by actor, owner, action, source, or record ID.

Read changed fields

When an audit entry includes field changes, the log shows the previous value and the new value.

For example, a status change may show a record moving from pending to approved. An edit may show an amount, note, odometer, vehicle, or date field changing from one value to another.

Some entries, such as a first submission, may not include field-by-field changes.

Record audit timelines

Fleet records can also show audit history inside trip, expense, and maintenance detail views.

When enabled, open a Fleet record detail view to see an Audit history section for that specific record. This timeline shows the record's audit entries in chronological order.

Turn record timelines on or off

Fleet admins can control whether audit history appears inside individual record detail views.

1. Open Fleet > Settings.
2. Find Record audit timeline.
3. Turn the setting on or off.
4. Save the fleet settings.

Turning this setting off hides the per-record timeline in record detail views. The main fleet audit log remains available to users with permission.

Shared vehicle activity

When a driver records a trip, expense, or maintenance item against a Shared Fleet Vehicle, that record is attached to the Fleet automatically and can create audit history for the Fleet review workflow.
