Get on-device activity suggestions, trip checks, trip purpose and type suggestions, and receipt scanning.

Travel Logs Intelligence

Travel Logs Intelligence helps you choose your next activity, checks trips for details that may need attention, suggests trip purposes and Business or Personal types, and reads receipts or maintenance invoices.

Suggestions and trip checks are advisory. Travel Logs does not apply a suggested value or correct a trip unless you choose to do so.

Manage Intelligence

Intelligence is on by default for new users. To review or change the setting:

  1. Open Settings in Travel Logs.
  2. Find the Intelligence section.
  3. Turn Intelligence on or off.

Select About Intelligence in the same section for a summary of how suggestions and on-device learning work.

Turning Intelligence off hides its suggestions and trip checks and disables receipt text recognition. You can still add and edit trips, expenses, and maintenance records normally.

Add Activity suggestions

When you open Add Activity and select a vehicle, Intelligence may place a recommended action in a Suggested section. It can recommend:

  • Start trip when starting a trip is the most relevant action. Selecting the suggested action starts the trip immediately.
  • Add expense based on the selected vehicle and recent activity. A frequently used expense category may be selected for you.
  • Log maintenance based on the selected vehicle and recent activity. The vehicle's latest odometer value may be filled in.

An expense and maintenance suggestion may also include Scan receipt.

The normal Add expense, Add trip, and Log maintenance choices remain available. You do not have to use the suggested action. Intelligence adjusts future Add Activity recommendations based on the actions you choose.

Trip purpose and type suggestions

Trip suggestions can appear while reviewing a missed trip and when viewing or editing Trip Detail.

Purpose suggestions

A suggested purpose appears inside the Notes or Purpose area. Select Apply to use it. Existing text is not replaced automatically.

Type suggestions

When Intelligence has a different Business or Personal type to suggest, the existing Type selector displays a sparkle indicator. Open the Type selector and choose Apply Suggested to use it.

You can continue to choose any normal type instead of the suggestion.

Trip anomaly detection

Intelligence checks completed trips for details that may need review. A trip check can appear in Trip Detail and in the Inbox. Urgent checks are highlighted separately from general review warnings.

Travel Logs can currently identify:

  • A stop odometer reading that is lower than the start reading.
  • A missing start or end time on a completed trip.
  • An end time that is earlier than the start time.
  • A trip lasting more than 24 hours.
  • A trip with locations but no recorded distance.
  • Two completed trips for the same vehicle that overlap by more than five minutes.

Open the affected trip to review the warning and its details. Correct the trip if necessary and save your changes. A warning does not automatically edit or delete the trip.

Scan receipts and maintenance invoices

Receipt scanning uses optical character recognition (OCR) to read printed text from a photo. You can start a scan from an Add Activity suggestion or from the receipt actions in an editable expense or maintenance record.

To scan a document:

  1. Take a clear photo or choose an existing image from your library.
  2. Select Scan Receipt. When starting from Add Activity, select Scan receipt or Scan invoice.
  3. Review the editable suggestions.
  4. Select Apply Suggestions to fill the record, or Keep Editing to leave the fields unchanged.
  5. Review the completed record and save it.

For an expense receipt, Intelligence may suggest:

  • Amount.
  • Date.
  • Merchant, added to Notes.
  • Expense category.

For a maintenance receipt or invoice, Intelligence may suggest:

  • Date.
  • Odometer reading.
  • Workshop or merchant, added to Notes.
  • Service items and their amounts.
  • Total amount when individual service items cannot be identified.

The receipt photo remains attached even if no details can be identified. You can replace, rescan, view, or remove the photo from the receipt actions.

How suggestions are created

Intelligence can consider information already available to Travel Logs, including:

  • Previous trip purposes and types.
  • Recurring routes and destinations.
  • Trip time, day, duration, and distance.
  • The selected vehicle.
  • Saved places.
  • Existing trip classification rules.
  • Nearby Calendar context when Calendar access has already been granted.
  • Recent expenses and maintenance for the selected vehicle.
  • Add Activity actions you previously chose.
  • Text recognized in a receipt or maintenance invoice.
  • Expense categories you previously confirmed for a merchant.

Not every signal is available for every activity. Intelligence continues with the information that is available and hides suggestions when confidence is too low.

Calendar access

On iOS, Calendar context is considered only when access has been granted to Travel Logs. To manage access:

  1. Open Settings > About Intelligence.
  2. Select Allow Calendar Access.
  3. Approve full Calendar access in the system prompt.

If access was previously denied, select Open Calendar Settings to manage the permission in iOS Settings.

If Calendar access is denied or unavailable, trip suggestions continue without Calendar information.

On-device processing and privacy

Predictions, trip checks, receipt text recognition, and learned patterns are processed on your device. They are not uploaded to an online prediction service.

Intelligence does not need to send trip purposes, addresses, contacts, Calendar titles, precise coordinates, or recognized receipt text to an online prediction service.

The original receipt or invoice photo is part of the expense or maintenance record. It follows the same backup and sync settings as other record attachments.

Learning from your choices

Applying or dismissing a trip suggestion helps Travel Logs adjust future results to your recurring patterns. Choosing actions from Add Activity also helps improve later activity recommendations. For expenses, Intelligence can remember a category you confirm for a merchant and suggest it when that merchant appears again.

Older trip behavior is gradually reduced so it does not permanently dominate later suggestions.

To reset trip and Add Activity personalization:

  1. Open Settings.
  2. Find the Intelligence section.
  3. Select Reset Learned Patterns.
  4. Confirm the reset.

Resetting learned patterns does not delete trips, expenses, maintenance records, places, vehicles, receipt photos, or trip classification rules.

Why a suggestion or trip check may not appear

Travel Logs may hide a suggestion or trip check when:

  • Intelligence is turned off.
  • There is not enough activity or trip context yet.
  • The prediction confidence is too low.
  • The suggested value already matches the trip.
  • You have already entered an authoritative value.
  • The record is read-only or fleet-managed.
  • A receipt photo does not contain enough readable text.
  • The trip is still in progress and a completed-trip check does not apply.

Suggestions may become available after a destination, route, vehicle, end time, receipt photo, or more activity history is available.

Important limitations

Suggestions can be inaccurate, particularly for new routes, limited activity history, or destinations used for both business and personal travel. Always review suggested values before applying and saving them.

Receipt recognition works best with a sharp, well-lit, straight-on photo. Folded paper, handwriting, glare, unusual layouts, multiple totals, and partially obscured text can produce missing or incorrect suggestions.

Trip checks can flag an unusual but valid trip or fail to identify every data issue. Review the trip itself before making corrections.

Intelligence complements existing Trip Auto Classification rules. It does not replace vehicle defaults, schedules, or saved-place classification.
